An avoided purchase, nothing softer ! A saving is counted only when a department with a documented request or pending requisition receives an item through an internal transfer instead of buying it new. The value is your own Last Purchase-Order price for that exact item (24*-month lookback), adjusted for condition, minus any transfer cost, and the record locks permanently the moment the transfer completes. No list prices, no estimates, no projections, no “potential savings.”
If your finance team can’t trace it to a PO, a request, and a timestamp , we don’t count it!

And the week-one baseline Surplus Savings Audit is yours to keep regardless: a documented map of your surplus, your doom rooms, and your reorder overlap that most systems have never seen in one place. This is the problem MatchPort was designed around. Publishing an item is three taps: 1-Photo, 2-Confirm, 3-Publish, faster than sending the “does anyone need this?” email. And every action earns personal credit: 70% of each documented saving credits the person (contributor) who published the item, 30% credits the approver (Decision Maker), visible on department leaderboards and exportable in one tap for annual review season. Both departments’ dashboards credit the full value, so there’s no zero-sum fight over who “gets” the saving.
Staff aren’t asked to do extra work for the hospital’s benefit — they’re building their own documented track record, empowered and incentivized for their engagement.
Sharing platforms (like Cohealo) lend equipment between facilities temporarily. Resale vendors monetize what leaves your building and always with pennies on a dollar. Inventory tools count what you have. MatchPort does the thing none of them do: permanently rehomes surplus department-to-department, across equipment, supplies, AND furniture, before a purchase order is ever cut, with CFO-grade savings documentation and individual staff credit. Resale isn’t a competitor; it’s our escalation path (see question 6).
Every published item gets a 30-day internal-first window. If no department claims it, the item escalates to your chosen disposition path: resale partner, donation, or disposal, with the full documentation trail attached. Internal reuse always gets first right of refusal, but nothing sits in limbo: every item exits the process with a documented outcome.
You receive an itemized monthly Documented Savings Statement in which every line traces to the source PO, the matching request, and the locked transfer record, all drawn from your own procurement data. Your team can audit any line at any time, and either party can flag a line within 30 days; flagged lines are held out of the fee basis until resolved, and the resolution itself is logged. Records are immutable: corrections are new adjustment entries, never edits.
The fee is calculated on your data, at your prices, under a methodology you receive in writing before the trial starts.

Expired, recalled, and non-functional items are ineligible by rule and blocked at publication. Reusable equipment carries condition documentation, and transfers route through your existing biomedical/HTM inspection workflow where your policy requires it. Every step of every transfer is logged for audit and regulatory review.
Real, and deliberately conservative. Every completed transfer updates live counters, pounds diverted from landfill, CO₂e avoided, donation value, formatted in Practice Greenhealth units (short tons, MTCO₂e) so the numbers drop directly into reporting you may already do, with LEED diversion-rate contribution available when facilities supplies the denominator.
